How to remember birthdays
Updated
To remember birthdays, stop relying on memory. Save each date the moment you hear it, attach a reminder a few days ahead, and take a short look at the upcoming week. The three steps below work with any calendar or reminder app, and the last section shows them in Birthday Countdown.
Step 1: Capture the date when you hear it
A birthday that never got written down is easy to miss. Someone mentions theirs in passing, you think "I'll remember that," and you don't.
So add it right then. Name and date is enough. If the person says "my birthday is March 8th," that takes a few seconds, and you can fill in details later.
A few things worth saving next to the date:
- A short note, like a gift idea they mentioned or a group chat to use.
- Which group they belong to (family, friends, work), so you can tell close people from acquaintances later.
You only need the day and month. The birth year isn't needed to remind you of anything.
Step 2: Set a lead-time reminder
A notification on the day itself often arrives when you're busy, and by then it's too late to buy a card or plan anything. Set the reminder earlier.
| Who | Lead time | Why |
|---|---|---|
| Close family, partner, best friends | 1 week before, plus the day itself | Time to buy or order a gift |
| Friends | 3 days before | Enough to organize a message or a call |
| Coworkers, acquaintances | 1 day before, or the day itself | A quick message is all it takes |
Two reminders on the same birthday work well: one early to plan, one on the day to send the message. Pick a time you're usually looking at your phone.
Step 3: Review the week ahead
Once a week, say Sunday evening, check which birthdays are coming up. It takes a glance, and it catches the odd case where you muted a notification or never granted permission.
Reminders on iPhone only arrive if notifications are allowed. If you've denied them, nothing will arrive, so a weekly look is a useful backup.
Where to keep the dates
Any single place works. The system fails when dates are scattered across a contacts app, a paper calendar and your head.
- Contacts and Calendar. Free and built in. See how to set birthday reminders on iPhone and how to add birthdays to iPhone Calendar.
- A paper or wall calendar. Good if you walk past it daily. It can't notify you.
- A dedicated app. One list, a countdown in days, and a reminder per person. More in the birthday reminder app guide.
Do it in Birthday Countdown
Birthday Countdown keeps its own list on your iPhone, with no account. It's free for up to 5 active birthdays; more needs Premium. It doesn't import birthdays from Contacts, Facebook or the iPhone calendar, so you add each one yourself.
- Open the Birthdays tab and tap the plus button at the top right. The New Birthday screen opens.
- Type the first name, then set the day and month. The first name is the only required field.
- Add a note and a group if you want. Family, Friends and Work are already there.
- Tap Reminders. A new birthday already has an On the day reminder at 10:00. To add another, tap the plus button, and under When to notify choose On the day, 1 day before, 3 days before, 1 week before, or Custom for your own number of days.
- Set the time, optionally write a message, and tap Save Notification.
- Tap Save Birthday.
A new birthday already comes with an On the day reminder at 10:00, so add a second one, such as 1 week before, for the early heads-up.
For the weekly review, open the Birthdays tab: the next birthday sits at the top with the days left. The Calendar tab shows the whole month, and tapping a day lists that day's birthdays.
The reminders are local notifications from your iPhone, meant for you. The app doesn't send anything to the other person. See the Birthday Countdown page for the rest of what it does, or the birthday calendar guide.
FAQ
- How do I remember someone's birthday?
- Save it the moment you learn it, with a reminder set a few days before. Memory is the weak link, so the reminder does the remembering and you only have to act on it.
- What is the best way to remember birthdays on iPhone?
- Keep every date in one place that sends you a notification ahead of time. That can be Contacts and Calendar, or an app like Birthday Countdown, which is free for up to 5 active birthdays.
- How can I remember my friends' birthdays?
- Add each friend as soon as you hear the date, and give close friends a longer lead time than acquaintances so there's room to pick a gift or write a message.
- How far ahead should a birthday reminder be?
- A day before is enough for a text. A week before gives you time to order a gift or plan something. Two reminders per birthday cover both.
- Do I need to remember the year someone was born?
- No. Day and month are all a reminder needs. Birthday Countdown stores only those two, so it never shows an age.
