Inventory counter
Updated
An inventory counter is whoever or whatever counts the stock you actually have on hand: a person with a clipboard, a handheld device, or an app. The count is then compared with what your records say.
What the term covers
The phrase gets used in a few ways. Cleverence describes an inventory counter as the person, device or workflow that checks on-hand quantities against a system of record, and lists handheld scanners, mobile ERP apps and shelf-scanning robots as tools for it. AIS FactoryLogix's documentation describes counters comparing recorded stock levels with the physical count to check that the records are accurate.
So there are two ends of the range:
| Type | How it counts | Good for |
|---|---|---|
| Scanner or inventory software | Scans each item and updates a system | Large stockrooms with barcodes and records to reconcile |
| Hand tally counter | You press once per item | Quick counts of identical things |
| Phone tally app | You tap once per item, with a name per counter | The same quick counts, without carrying a second device |
If you need scanning or an upload into inventory software, a tally app isn't the right tool. If you just need to know how many of something are on the shelf, it can be.
Handheld inventory counter versus a phone
A handheld inventory counter in the simplest sense is the clicker you hold in one hand while you point at items with the other. It does one thing and holds one number. Count three products and you're writing totals on paper between each one.
A phone with a tally app removes that step. You make a counter per product, and each keeps its own total.
Counting stock with Tally Counter
Tally Counter is an iPhone app, and it fits manual counts of identical items. Here's how to set it up for a count.
- Open the app. If the list is empty, tap Create Counter. Otherwise tap New Counter at the bottom of the Counters list.
- In the New Counter sheet, type the item name under Name, for example "Box of 12 mugs", then tap Create.
- Repeat for each product you'll count.
- Tap a counter to open it. Tap the large + button once for each unit.
- If you counted one too many, tap −. It stops at zero.
- Go back to the Counters list. Each row shows the counter's name and its current total, so you can read all your counts together.
To fix a name, open the counter and tap Edit, then change it in the Edit Counter sheet and tap Save. To remove a counter, swipe it in the list. Tapping reset asks "Reset this counter to 0?" before it does anything.
Counting is free, with unlimited counters. Your data stays on your iPhone and there's no account.
What it doesn't do
This matters for an inventory use, so plainly:
- No barcode scanning. The app doesn't use the camera and doesn't count for you.
- No export. You can't send the totals as a CSV or share them from the app.
- No sync across devices and no cloud backup of counts.
- No folders. The list is flat, so put the shared word first in names, like "Mugs - shelf 1" and "Mugs - shelf 2".
- Every tap is +1 or −1, with no custom step.
In practice that means you read the totals off the screen and write them where they need to go. For a small count, that's fine. For a recurring audit that has to feed a spreadsheet or software, it'd be slow.
